GENERAL JOB DESCRIPTION

The Director of Student Financial Services reports to the Vice President for Strategic Financial Administration and Initiatives/CFO. The Director of Student Financial Services has duties and responsibilities involving the knowledge and application of university policies and procedures that require independent judgment in the determination of actions to be taken regarding student account transactions.

The Director of Student Financial Services will direct and coordinate functions relative to the proactive receipt of monies from students for the University. The person in this position is responsible for the collection, accountability, and deposit of all tuition, fees, loan payments, and other receivables. The person in the position will also manage the Student Account Specialist.

The Director of Student Financial Services will collaborate with the Office of Information Technology Services to design and implement technology solutions in support of mission-critical Student Accounts functions and business processes. Coordinate and facilitate requirements gathering and analysis, including the development and implementation of functional specifications, integration documents, and testing scripts. Utilize reporting tools to extract data from operational data systems to help with analysis, testing, and troubleshooting of non-routine production system problems.

The Director of Student Financial Services will serve as project and accountability coordinator for related student account priorities and for other projects as identified by the Vice President for Strategic Financial Administration and Initiatives/CFO.

MAJOR DUTIES AND RESPONSIBILITIES

  • Provide direction of and responsible for the operations of student financial services, billing and receivables, collections, refunds, and cashiering functions of the university; Counsel and field student and family inquiries.
  • Spreadhead the development and management of the student collection process encompassing both 1st and 3rd party collections, ensuring streamlined processes, maximizing effectiveness, and efficiencies.
  • Communicates and collaborates with Financial Aid, Residence Life, Registrar, Student Success, International Admissions, students, and parents regarding deposits and student account payments.
  • Ensures accurate statement of charges and monthly statements; Responsible for semester tuition and fee configuration, testing, and assessment of 100 fee schedules for all undergraduate, graduate, and doctorate students.
  • Prepare all outside billings for tuition and other charges including third-party receivables, military, state, and federal agencies, etc.; Manage contract invoicing including SACM and VA.

MINOR DUTIES AND RESPONSIBILITIES

  • Implement and manage strategic plans and operating procedures for the student accounts department, monitor and evaluate operational effectiveness, and effect changes required for improvement.
  • Interacts with internal and external auditors, participates in auditing projects, or provides information and access to accounting records, as required.
  • Assist with month-end closing processes for student receivables.
  • Set up and maintain payment plans.
  • Assist in the annual preparation of 1098-T and 1042-S Forms; Knowledge of ECSI.
  • Maintain employer reimbursement programs.
  • Ability to effectively supervise employees.
  • Ensure fiscal integrity and oversight of university cash handling and policies.
  • Knowledge of academic/registrar terminology.
  • Ability to communicate effectively in written and oral form within a diverse community; Excellent phone communication skills.
  • Effective planning and organizational skills with exceptional attention to detail.
  • Collaborate with other Tiffin University Offices to examine and re-engineer operations and procedures, formulating up-to-date policies and practices, and developing and implementing new strategies and procedures concerning student success.
  • Coordinate and perform testing of student financials software module within student information system and other student financial related software systems (e.g., custom-developed and third-party solutions) when new releases, patches, bundles, critical updates, modifications, or integrations are made. Direct and support the Account Specialist in testing SIS and debt collection processes, customizations, and integrations that are related to their areas. This includes understanding detailed processes in the following broad student financial service areas: cashiering and third-party processing and collections.
  • Prepares various reports for the Vice President for Strategic Financial Administration and Initiatives/CFO and other internal and external entities.
  • Other tasks are required/assigned.
Requirements:

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education:

  • Bachelor's Degree in Accounting, Finance, or Business Administration.
  • Master of Business Administration is preferred.

Experience:

  • A minimum of (5) years experience in receivables, collections, or student accounts.

Other:

  • Knowledge of accounting concepts, techniques, and principles.
  • Demonstrated analytical ability and strong organizational and communications skills are a must.
  • Knowledge of fund accounting, financial aid, and student loan terminology.
  • Proficient in Microsoft Office programs and other general office equipment.
  • PowerCampus experience a plus.
  • Ability to maintain confidentiality is required.
